Administrative Coordinator
CALIFORNIA FOUNDATION FOR AGRICULTURE IN THE CLASSROOM
REPORTABILITY: Executive Director
SALARY RANGE: $32.50/hr. to $36.00/hr.
ORGANIZATIONAL INFORMATION: The California Foundation for Agriculture in the Classroom is a non-profit educational foundation dedicated to providing free and low-cost agricultural literacy materials, including curriculum and teacher resources for K-12 grade(s). Our mission is to increase awareness and understanding of agriculture among California's educators and students.
SUMMARY: The main responsibility of this position is to manage the database of teachers and donors, serves as the office administrator, and supervise the Administrative Assistant. Work is assigned at the direction of the Executive Director.
ESSENTIAL DUTIES:
- Prepare annual budget
- Analyze monthly budget variances
- Query database to prepare mailing lists based on multiple criteria
- Track grant expenses and prepare backup for invoicing of grantors
- Draft grant reports per grant specifications
- Manage fulfilment of grant obligations
- Prepare layouts using InDesign
- Record quarterly board meeting minutes
- Prepare monthly statistical reports on programs and teacher engagement
- Manage weekly payables and proper budget coding
- Manage Donation Processing
- Record all donations in database
- Prepare donation deposit reports
- Prepare acknowledgement letters to donors
- Oversee Teacher resource order fulfillment
- Record orders in database
- Assemble and maintain supply of Teacher Resource Packets
- Manage Events Registrar
- Prepare registration forms using database
- Travel to on-site events as needed (Approximately 3 times per year)
- Manage Preparation of monthly reports
- Monthly postage report
- Monthly bulk account report
- Monthly xerox copier usage report
- Oversee and submit weekly accounts payables report to Financial Services Department
- Recording of teacher grant awards and other teacher activity in database
- Oversee office supply inventory management and ordering of supplies for department
QUALIFICATION REQUIREMENTS:
- Thorough understanding of relational databases
- Bachelor of Science in Management Information Systems preferred
- Minimum 5 years’ experience with cloud-based CRM technology, preferably NEON
- Minimum 5 years general office experience including mail-merge, Excel spreadsheets using formulas between tabs, Microsoft Word and Microsoft Access.
- Ability to prioritize tasks, manage time effectively, attention to detail
- Excellent written and verbal communication
- Excellent proofreading skills
- Ability to stand and sit for long periods of time, lift 25 lbs.
